SoulCare Terms of Service

    Welcome to SoulCare. These Terms of Service ("Terms") govern your use of the SoulCare mobile application ("the App"). By creating an account or using the App, you agree to these Terms. If you do not agree, please do not use SoulCare.

    SoulCare is a product of the Soul Care Cycle methodology, developed in partnership with Heartland Church.

    1. Acceptance of Terms

    By creating a SoulCare account, you confirm that you have read, understood, and agree to be bound by these Terms and our Privacy Policy. If you do not agree to any part of these Terms, you may not use the App.

    You must be at least 13 years old to create an account. If you are under 18, you represent that a parent or guardian has reviewed and agreed to these Terms on your behalf.

    2. Description of Service

    SoulCare is a faith-based emotional wellness and spiritual reflection app. It guides users through the Soul Care Cycle (SCC) — a biblically-grounded process for examining your soul, identifying lies and fears, reconnecting with God's truth, and planning concrete action. The methodology is based on God's four questions to Adam and Eve in Genesis 3.

    The App offers:

    • Soul Care Cycle sessions — a guided four-phase process (Soul Searching, Soul Sources, Soul Satisfaction, Soul Strategy)
    • Quick Check-Ins — simplified daily wellness reflections
    • AI-generated prayers and scripture pathways — personalized spiritual content powered by Google Gemini
    • Session history and streaks — tools to track your spiritual journey over time
    • Accountability partnerships and future/if-enabled small groups — optional ways to connect with a trusted partner or group to encourage consistent soul care practice together
    • Limited analytics and diagnostics — tools that help us understand whether key app flows work, diagnose crashes/errors, and improve reliability

    3. Medical and Wellness Disclaimer

    This is important. Please read it carefully.

    SoulCare is a spiritual reflection and emotional wellness tool. It is not a medical device and does not diagnose, treat, cure, or prevent any medical or mental health condition. The App is not a substitute for professional medical advice, diagnosis, or treatment.

    • Do not disregard professional medical or mental health advice because of anything you experience in this App.
    • Do not use SoulCare as a replacement for therapy, counseling, psychiatric care, or any other professional treatment.
    • The Soul Care Cycle is a spiritual process, not a clinical one.

    If you are in crisis, please contact the 988 Suicide and Crisis Lifeline by calling or texting 988, or call 911. You are not alone, and help is available.

    4. AI-Generated Content

    SoulCare uses Google Gemini (provided by Google) to generate personalized prayers and scripture pathways based on your session responses. You should understand the following:

    • AI content is for spiritual reflection only. It is not professional counseling, therapy, or medical advice.
    • AI-generated content may contain inaccuracies. While we design our prompts carefully, AI models can produce unexpected or imperfect results. Always use your own discernment and consult Scripture directly.
    • AI content does not replace pastoral care. If you need pastoral guidance, please reach out to your church leaders directly.
    • You choose whether to use AI features. AI processing requires your explicit consent. Google Gemini requires users to be 18 or older to enable AI-powered features, so enabling AI features is also your confirmation that you are 18 or older. You can use the full Soul Care Cycle without AI-generated content.
    • We may change AI providers. If we switch providers in the future, we will update our Privacy Policy and notify you before the change takes effect.

    Reporting AI-Generated Content

    If you encounter AI-generated content (prayer text, scripture pathway, encouragement) that you believe is inaccurate, inappropriate, or harmful, you can report it using the in-app reporting option on those screens. Reports help us improve our approach and provider choices. We review reports regularly and take action where warranted, including adjusting how content is generated or, in rare cases, removing specific content. We do not publicly share individual reports.

    5. User Content

    You retain full ownership of everything you write, select, and share within SoulCare — your stories, reflections, fears, truths, prayers, and all other responses. This is your spiritual journey, and it belongs to you.

    By using the App, you grant SoulCare a limited, non-exclusive license to:

    • Store your content in our database so you can access your session history
    • Process your content through AI to generate prayers and scripture pathways (only with your explicit consent)
    • Share summary trends with church leadership (only if you explicitly opt in — see Section 8)

    This license exists solely to provide the App's functionality. We will never sell your content, use it for advertising, or share it with third parties for marketing purposes.

    6. Account Responsibilities

    When you create or use a SoulCare account, you agree to:

    • Keep any credentials secure. Native iOS and Android launch accounts are anonymous device accounts, but web/admin accounts or future account options may use credentials. If you have credentials, do not share them with others.
    • Provide accurate information. Any profile information you provide, including your display name and email address if you choose or are asked to provide one, should be truthful and current.
    • Maintain one account per person. Do not create multiple accounts or reset/reinstall the App repeatedly to bypass usage limits or abuse protections. If you need help starting fresh, contact us.
    • Notify us of unauthorized access. If you believe someone has accessed your account without your permission, please contact us immediately at info@soulcarecycle.com.

    7. Privacy

    Your privacy is fundamental to SoulCare. We have a detailed Privacy Policy that explains exactly what data we collect, how we use it, and who can access it.

    Key highlights:

    • We collect only what is needed to provide the App's features. Native iOS and Android launch accounts are anonymous device accounts; web/admin access may involve email/password or Google OAuth.
    • Your full story descriptions, prayers, fears, lies, truths, and action plans are private by default.
    • Church leadership can see story titles, session emotions, and trends — never the full content of your sessions — and only if you opt in.
    • Accountability partners can see your display name and streak count at launch. Richer partner or small group session-summary sharing is not enabled at launch and would require a future privacy control.
    • AI processing of your data requires your explicit consent.
    • Limited product analytics and crash/error diagnostics are used for reliability and product improvement, as described in the Privacy Policy.
    • You can delete your account and all associated data at any time.

    8. Church Leadership Data Sharing

    SoulCare was built in partnership with Heartland Church to help church leaders care for their congregation. Sharing your data with church leadership is entirely optional.

    If you choose to opt in:

    • Leaders see story titles, selected emotions, and trends — such as the short title you give each session, the emotions you select, emotion frequency patterns, check-in consistency, and streak counts. Story titles are visible to opted-in leadership; your other written SCC responses are not.
    • Leaders never see the full content of your sessions — your full story descriptions, prayers, specific fears, lies, truths, idols, and action plans are never visible to leadership. This boundary is enforced by our system, not just the user interface.
    • Authorized launch dashboard roles include admins, pastors, associate pastors, and counselors within your associated church. Small group and accountability leader visibility is separate from the launch church leadership dashboard and, if enabled in the future, is governed by the partner/group sharing controls in Section 9.
    • Leaders access a separate web dashboard, not the SoulCare mobile app. Access is role-gated by a church administrator, consent-gated at the user level, and audit-logged.
    • Pastoral discretion. The dashboard may highlight opted-in members whose patterns suggest they could benefit from pastoral attention. SoulCare itself does not automate outreach — any conversation that follows is a pastoral decision made by a human. If you do not want your data used this way, you can decline leadership sharing during onboarding or turn it off in your privacy settings.
    • You can revoke sharing at any time from your profile settings.

    9. Accountability Partners and Small Groups

    SoulCare allows you to connect with an accountability partner, and may allow church small groups if that feature is enabled, to encourage consistent soul care practice in community.

    • What partners can see at launch: your display name and streak count. Partners cannot see story titles, story descriptions, session emotions and needs, prayers, fears, lies, truths, idols, action plans, or Quick Check-In details. See the Privacy Policy for the complete list.
    • Sharing is controlled by invitation at launch. Richer partner or group session-summary sharing is not enabled at launch and would require a future privacy control, separate from the leadership sharing toggle in Section 8.
    • Partnership is mutual and by invitation. You invite a specific person; they must accept. Either party can end the connection at any time, and once revoked the former partner no longer sees any of your data.
    • Small groups are a future/if-enabled church community feature. If enabled later, small group visibility will be governed by a future privacy control and policy update.
    • You are responsible for who you partner with. SoulCare does not verify the identity or intentions of other members. Choose trusted companions.

    10. Prohibited Use

    You agree not to use SoulCare to:

    • Harass, bully, or intimidate other users, including accountability partners
    • Share another person's data from the App without their explicit permission
    • Misrepresent the App as medical advice or encourage others to use it as a substitute for professional care
    • Attempt to access other users' session data, accounts, or private information
    • Reverse engineer, decompile, or tamper with the App or its infrastructure
    • Use automated tools (bots, scrapers, etc.) to interact with the App
    • Violate any applicable law in your use of the App

    We reserve the right to investigate and take appropriate action against any violations, including account suspension or termination.

    11. Termination

    By You

    You may delete your account at any time from the Profile screen in the App. Account deletion is permanent and cannot be undone. All of your data — sessions, check-ins, prayers, pathways, partnerships, and preferences — will be permanently removed. Please see our Privacy Policy for full details on what is deleted.

    By Us

    We may suspend or terminate your account if:

    • You violate these Terms or engage in prohibited use
    • Your account appears to have been compromised
    • We are required to do so by law
    • We discontinue the App (we will provide reasonable notice if this occurs)

    If we terminate your account for a reason other than a Terms violation, we will make reasonable efforts to notify you and allow you to export your data where feasible.

    12. Limitation of Liability

    SoulCare is provided "as is" and "as available" without warranties of any kind, either express or implied. We do not warrant that the App will be uninterrupted, error-free, or free of harmful components.

    To the fullest extent permitted by applicable law:

    • SoulCare, its developers, and Heartland Church shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of or inability to use the App.
    • Our total liability for any claim related to the App shall not exceed the amount you paid to use the App (which, for a free app, is zero).
    • We are not responsible for the accuracy, completeness, or helpfulness of AI-generated content, including prayers and scripture pathways.
    • We are not responsible for actions taken by church leadership, accountability partners, or any third party based on information available through the App.

    This limitation applies regardless of the legal theory (contract, tort, negligence, strict liability, or otherwise).

    13. Changes to These Terms

    We may update these Terms from time to time. When we do:

    • Material changes (such as changes to data sharing, liability, or user rights) will be communicated to you through the App before they take effect. We will give you reasonable notice and an opportunity to review the updated Terms.
    • Minor changes (such as clarifications or formatting updates) may be made without notice.
    • The "Last Updated" date at the top of this document will always reflect the most recent revision.

    Your continued use of SoulCare after updated Terms take effect constitutes your acceptance of those changes. If you do not agree to the updated Terms, you should stop using the App and delete your account.

    14. Governing Law

    These Terms shall be governed by and construed in accordance with the laws of the Commonwealth of Kentucky, without regard to its conflict of law provisions. Any disputes arising under these Terms shall be resolved in the state or federal courts located in McCracken County, Kentucky.
